How long I keep information
I only keep personal information for as long as I need it for the purpose it was collected, or where I need to retain it for legal, accounting or claims-related reasons.
As a guide:
Enquiries and discovery call information that do not lead to a client relationship are normally kept for up to 12 months after the last contact.
Client contact details, intake information, session notes and relevant correspondence are normally kept for up to 7 years after the final session.
Health information is kept only for as long as it is relevant to providing the service and is reviewed after the client relationship ends. It will normally be deleted within 12 months of the final session, unless it is needed for an ongoing complaint, claim or legal reason.
Financial and accounting records are kept in line with applicable HMRC record-keeping requirements.
Photographs, videos and testimonials are kept only for as long as they are needed for the agreed purpose. Where their use depends on consent, they will no longer be used if that consent is withdrawn.
Complaints, disputes, claims and related health and safety records may be kept for up to 6 years after the matter is closed, where this is necessary.
Website form submissions and routine emails are deleted when they are no longer needed. Relevant information may instead be retained as part of the client record.
